Must have a minimum 2 years administrative experience and industry if possible but not required, excellent phone skills, can take direction without follow-up, excellent communication skills, excellent in multitasking and organization. Bi-Lingual a Plus!
CANDIDATE MUST BE PROFICIENT IN MICROSOFT WORD, EXCEL, OUTLOOK AND INTERNET.
REQUEST KNOWLEDGE IN MICROSOFT PROJECT BUT NOT REQUIRED.
Essential Duties:
Assist the company president in communicating with the subcontractors and employees daily regarding schedules, company policies and procedures, permits, safety, quality control, and other performance standards. Reviews and updates progress and cost reports, schedules, and requirements for completion on a regular basis to support and assist the Manager. Communicate both by phone and email with clients regarding schedules on work, work progress, invoices, proposal, etc.
Other Duties and
Responsibilities:
Maintain Files/invoices/bills
Review insurance expiration/renewals
Answer all phone calls
Manage email, scanned and faxed documents
Manage project files
Copy and route documents based on assignment
Handle courier deliveries and mailings
Filing contracts and updates
Ordering drawings and office supplies
Assist with Safety paperwork and updates
Coordinate jobs
other duties as assigned
And other dutiesEstimated Salary: $20 to $28 per hour based on qualifications.
